Your agreement
These terms govern your use of Pic Ops at picops.ithubs.org, operated by Pic Ops. By using the service, you agree to these terms. If you use Pic Ops for a business, you confirm that you have authority to act for it. You must be at least 18 and able to enter into this agreement.
If you do not agree, do not use the service. Questions about these terms can be directed to ov@generationix.net. Our Privacy Policy explains how information is handled.
Accounts and invitations
Access is invite-only. Use your invited email address, provide accurate information, and protect your sign-in and connected accounts. Invitations do not grant access to another studio’s data and may be revoked. Do not share accounts or bypass access restrictions.
Notify us promptly if you suspect unauthorized access. You are responsible for activity you authorize through your account.
What the service provides
Pic Ops helps wedding and portrait photographers organize Gmail conversations, manage client details, route routine questions to approved templates, review complex requests, and prepare reminders, follow-ups, contracts, and invoices.
The current service is an early-access product for solo studios. Gmail is the supported communication channel. Planned calendar, booking, social, phone, and team features are not commitments about availability or release dates. Availability, scan timing, and email delivery depend in part on external services.
Email and automation
Connect only a mailbox you are authorized to use. Granting Gmail access authorizes Pic Ops to read and process conversations for the features described in the application and Privacy Policy. Sending a manual reply or enabling auto-replies authorizes the corresponding messages to be sent from that mailbox.
You are responsible for approving template wording and enabling automation. AI classification can make mistakes. Automatic replies use approved text with supported name, studio, and signature substitutions; you should check that your templates are suitable for your customers. Review requests require manual approval in the current service.
Turn off auto-replies or disconnect Gmail to stop future automation. Actions already completed, including delivered emails, cannot be undone by disconnecting. Keep independent records of important commitments and deadlines.
Your content and customers
You retain ownership of the content you supply. You grant Pic Ops and its necessary service providers permission to process, store, display, and transmit that content to provide the features you use. This permission does not allow us to sell your Gmail data, use it for advertising, or train general-purpose AI models on it.
You are responsible for having the necessary rights and permissions to process customer information and send communications, including any required notices or consent. Respect recipients’ communication preferences and applicable privacy and messaging rules.
Contract and invoice features create editable text drafts. They are not legal or tax advice, payment processing, or an electronic signature service. Review all names, terms, amounts, dates, and commitments before sending.
Acceptable use
Do not use Pic Ops to send spam, impersonate others, distribute unlawful or infringing content, obtain unauthorized access, expose another person’s confidential information, or interfere with the service. Do not circumvent security controls, provider limits, or invitation requirements.
Your use of Google and other connected services remains subject to their applicable terms. You must maintain the permissions and accounts required for those connections.
Availability and charges
Features may change as the service develops, and access may be interrupted for maintenance, provider outages, or security reasons. Pic Ops does not guarantee continuous availability, perfect AI results, or successful delivery of every message.
The current MVP does not collect payments or establish a paid subscription. Any future paid offering will disclose its price and billing terms before you agree to purchase it. Your own connected services may have separate charges.
Ending access
You may stop using Pic Ops, disconnect Gmail, or request account deletion by contacting ov@generationix.net. Disconnection and deletion are different actions, as explained in the Privacy Policy.
We may restrict or end access for material violations of these terms, security threats, legal requirements, or discontinuation of the service. Where practical and lawful, we will give notice and an opportunity to retrieve your information or address the issue.
Responsibility and limitations
To the extent allowed by applicable law, the early-access service is provided as available, without guarantees of accuracy, fitness for a particular purpose, or uninterrupted operation. You remain responsible for reviewing business decisions and customer communications.
To the extent permitted by law, we are not liable for indirect or consequential losses, such as lost profits or business opportunities, resulting from use of the service. Nothing in these terms excludes liability or rights that cannot lawfully be excluded, including applicable consumer protections.
Changes and contact
We may revise these terms as the service changes. We will identify the latest revision date and bring material changes to your attention before they take effect where required. If you do not accept updated terms, stop using the service and contact us about closing your account.
